The Mountsorrel & Rothley Community Heritage Centre is committed to ensuring that your privacy is protected. Any personal information you provide will only be used by us and will not be passed to third parties without your expressed consent. We collect the bare minimum amount of information required to enable the website to function correctly.

Although we make every effort to ensure that the website is virus and exploit free by utilising firewall and malware checking software, we cannot guarantee the safety of your data stored on the website.

Newsletters

When you sign up for any of our newsletters then we need to record some of your personal information:-

E-mail address Required: We obviously need your e-mail address so that we can send you your newsletter.
First Name Optional: Used to customise your e-mails.
Last Name Optional: Not used at present.
Lists Required: Which newsletters you are subscribed to.
Status: Unsubscribed, unconfirmed, bounced or subscribed.

We use a two stage sign-up process when you subscribe to newsletters; when you sign up we send you an e-mail asking you to confirm your subscription. This ensures that the e-mail address provided is genuine and that it is you that has subscribed. If you do not complete this second stage then, after three months, your details will be deleted.

In addition, the website records the following information:-

IP address: The IP address you used when you signed up for the newsletter. Recorded to prevent abuse of the system.
Newsletters Sent: Which newsletters have been sent to you.
Delivery status: Was the newsletter delivered successfully.
Newsletter Status: Unread, opened or clicked. Have you read the newsletter or followed one of the links?

Information you provide will ONLY be used by us for the purposes of sending you regular newsletters. At the bottom of each newsletter are links to enable you to change your personal details, subscriptions, or allow you to unsubscribe. We regularly delete unsubscribed and invalid e-mail entries, older than three months, from the database.

Our website uses the MailPoet sending service. This service allows us to track opens and clicks on our emails. We use this information to improve the content of our newsletters.

No identifiable information is otherwise tracked outside this website except for the email address.

Contact Form

When you contact us via one of the forms on the website the following personal information is recorded.

E-mail address Required: We obviously need your e-mail address so that we can respond.
Name Required: Used so that we know who to respond to – you could enter anything into this field.
Comments Optional!
IP Address: Your IP address, recorded to detect and prevent misuse of the system.

We do not use the information submitted through contact forms for marketing purposes.

The contact form data (IP address, user agent, name, email address, website, and message) is submitted to the Akismet service (owned by Automattic) for the sole purpose of spam checking. The actual submission data is stored in the database of this site and is emailed directly to the owner of the form (i.e. the site author who published the page on which the contact form resides). This email will include the submitter’s IP address, timestamp, name, email address, website, and message.

Your comments are kept by the website for a maximum of three months. If required your comment may be passed to one of our team who we judge may be best able to respond.

Leaving Comments

In addition to the information you provide when completing a comments form, we also collect your IP address and browser user agent string to help spam detection.

An anonymised string, created from your email address (also called a hash), may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture (if available) is visible to the public in the context of your comment.

Volunteers

When you express an interest in volunteering with us we will create an account for you on the website. This is so you can administer the various volunteering sessions that you have signed up for.

E-mail address Required: We obviously need your e-mail address so that we (and the website) can inform you about volunteering sessions. Your e-mail address may also be used to log in to your account on the website.
First Name and Last Name Required: Used so identify which tasks you have agreed to cover. The various sign-up sheets and calendars will use you first name and the initial of your last name to identify you. Only other volunteers signed into the website will be able to see this information.
Password Required: Your password is stored on the website in a HASHED format. No one can see your original password.
User Name Required: This is allocated to you when your account is created. It is unique to you, it cannot be changed, and may be used as an alternative to your e-mail address to log you into the website.

The website also records when you succeeded in (and failed to) log-in to the website, your IP address, and if you were locked out for some reason. This information is used to provide help to volunteers when they have problems in accessing the private pages on the website, but can also be used to identify if failed log-in attempts are genuine. The IP address can be used to identify the country, county and sometimes the town, so log-in attempts from outside the UK will be treated with suspicion.

Granite’s Wi-fi

When you connect to Granite’s wi-fi our network records details about you and your visit.

Your device’s MAC address: This allows the wireless network to identify the devices connected to it.
Your Operating System: This may help identify the type of device (e.g. Windows, Android, IOS etc.).
Last Seen: When were you last connected to the network.
Network Connected to: Did you connect to the Guest, Staff or Volunteer network?
Signal Strength: How strong was your signal?
Rate/Capability: How fast was your connection?
Date Usage: How much data did you download/upload over the network?
Applications: What websites were visited. We cannot identify what websites individuals visit, we get a summary which tells us how much data was retrieved from websites such as Facebook, YouTube, iTunes etc.

This information is recorded automatically whenever you connect to the network, hence by connecting to our network you must agree that this information is collected. We use information primarily to check the demand on our network and also the effectiveness & coverage of our wi-fi network. However it may be possible to use the information to determine if the Wi-Fi Terms & Conditions are being violated. Our wi-fi system allows us to permanently block offenders.
WordPress: Our website runs the popular WordPress CMS and cookies are used to store basic data on your interactions with WordPress, and whether you have logged into WordPress. We use a session cookie to remember your log-in for you if you are a registered user and we deem these as being strictly necessary to the working of the website. If these are disabled then various functionality on the site will be broken.

Third Party Cookies

These are cookies set on your machine by external websites whose services are used on this site. Cookies of this type are the sharing buttons across the site allow visitors to share content onto social networks. Cookies are currently set by Facebook. Some of our pages included embedded content such as YouTube videos or buttons to allow content to shared on Facebook, Twitter etc. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.

When sharing content via email the following information is used: sharing party’s name and email address (if the user is logged in, this information will be pulled directly from their account), IP address (for spam checking), user agent (for spam checking), and email body/content. This content will be sent to Akismet (owned by Automattic) so that a spam check can be performed.
